Change Management:

Project Masters will facilitate the development of an integrated change control system within your organization. Most problems we have observed in this area are related to the wrong people asking for the wrong change. We will ensure that only those people authorized to request a change will be allowed to submit those changes. There will be a clear delineation of authority as to who can request a change and who can authorize that the change takes place. Additionally, to be more responsive to change requests made by stakeholders, Project Masters will develop a matrix that will clearly show who is able to authorize a change, based on the dollar amount of the change and the time required to complete the change. For example, if the requested change will only take one hour to complete and cost $100, then a project team member may authorize the change, and notify the project manager when the change has been completed so that the project’s budget and schedule can be updated. However, if the change would incur an additional $10,000 in costs and add an additional two weeks to the project’s schedule, then the project manager, in coordination and agreement with the senior staff of the agency, will be the person able to authorize the change.

With regard to scope verification and formalized acceptance of a project, Project Masters believes that no project is complete until the customer is satisfied. By managing an integrated project plan, we can clearly see what objectives have been met and what objectives still need to be completed. Additionally, we will get interim sign-offs on deliverables as they are delivered in order to make the formal acceptance of the project’s deliverables less traumatic. If this process is left until the end of a project, it often results in re-work and wasted time.
